Summary:
This position, working with and reporting directly to the Director of Corporate Communications, ensures the seamless planning and coordination of meetings, conferences, and other events held at CHRISTUS Health’s Ministry System Office. This includes planning, organizing, and overseeing events, ensuring excellent customer service, and maintaining the facility to the highest standards. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work effectively with diverse individuals. This position requires a high degree of professionalism and daily interaction with external and internal professional staff. Exposure to sensitive information necessitates the exercise of confidentiality, mature judgment, and independent decision-making. The role may also involve working in a fast-paced and dynamic environment.
Responsibilities:
- Meets expectations of the applicable OneCHRISTUS Competencies: Leader of Self, Leader of Others, or Leader of Leaders.
- Plan and manage events, including meetings, conferences, and Associate events.
- Handle meeting room reservations to fulfill requests while maximizing available space.
- Facilitate planning with a wide range of areas and services, including catering, security, facilities, loading dock and others.
- Liaise with the requesting party to understand their needs and meet their requirements.
- Manage event logistics, including room setup, audiovisual equipment, catering, signage, and other services.
- Create and maintain a comprehensive calendar of meetings and events for the office.
- In partnership with the corporate communications system director, establish and enforce meeting, conference, event and interior signage guidelines for the Ministry System Office
- Coordinate Associate activities, promoting a culture of an engaged workplace.
- Oversee planning and execution of observances and holidays celebrated throughout CHRISTUS Health, including the timely creation of materials in partnership with on-staff graphic designers.
- Utilize CHRISTUS’ internal communications channel, CHRISTUS Central, to promote events, holidays, and observances as appropriate.
- Assist the internal communications team in developing and maintaining CHRISTUS Central content as needed, especially regarding internal celebrations and events.
- Must have strong organizational and multitasking skills.

- Must be proficient in Microsoft Office Suite.
- Must have ability to work flexible hours, including evenings and weekends, as needed on occasion.

Job Requirements:
Education/Skills
- Bachelor’s degree in hospitality management, Event Planning, Communications or a related field required.
Experience
- 2-4 years of proven experience in event planning or conference center management preferred.
- 2-4 years of experience creating written content for various audiences preferred but not required. Writing samples will be requested if available.
Licenses, Registrations, or Certifications
- None required.
